Annual client meeting records to integrate into
Advisor360
IA-reps are required to contact each investment advisory client once every 12 months and document these meetings for periodic review by firm supervisors. Beginning Feb. 2, Advisor360 is making this easier by integrating meeting records. Click here to learn more.
USING ONEDRIVE:
Do Not Store Any Client Files or Other Confidential Information on One Drive. OneDrive is an excellent tool for collaboration and storing working documents but is not approved for storing client files and agency supervisory records. Four vendors are SEC and FINRA approved for storing official records:
- MuniMetrix for client and agency records.
- Laserfiche for client and agency records.
- Advisor360 for client records only. For help or questions, reach out to Bryan Menard.
FINANCIAL PLANNING:
MMLIS policy states that financial plans should be delivered to the client electronically through A360. We have had some challenges complying with the policy. Key elements of the financial plan delivery:
- The plan should be approved by CCU or a firm Agency Supervisory Officer prior to delivery.
- The official delivery should be through A360 prior to the anniversary date.
- The delivered plan should be in final form, not a draft. A copy of the full client report should be saved in A360, but you are not required to share the full report with the client.
- The client needs to be notified that the plan is available to be viewed. We prefer that this notice is provided through I360. If the client has not logged into I360, notice can be sent from Outlook, but you need to save a copy of the email to the client file in A360.
